Privacy Policy
Stockton Parent Carer Forum (SPCF) are committed to being compliant with the new General Data Protection Regulation (GDPR) legislation and keeping your information confidential. As the recognised parent carer forum for Stockton on Tees, we aim to provide the highest level of service we can.
To do this we need to gather information from local parents/carers and the children that are represented by you. We will not share any personal information with other organisations for marketing purposes. Due to the nature of our work, we may have to pass on information to the relevant organisations in order to deal with your query or problem. We also have a duty of care for both children and adults and a safeguarding policy is available to read. In any event, where your information may need to be shared with the relevant agencies, we would contact you.
PURPOSE & SCOPE
This policy sets out the way in which SPCF collects and uses personal and sensitive information from parents of children with special education needs and or disabilities. It outlines the rights of the service user and the processes they should take should they have any requests regarding the data we store.
DEFINITIONS
‘Us’, ‘We’, ‘The Forum’, ‘Volunteer’: Where this term is used it directs to members of SPCF that contribute in its day to day running for example at coffee mornings or parent participation meetings.
Service User: The persons who interact with the forum by way of parent participation, attendance of training courses or information provision.
Steering Member: These are the members of SPCF that take on more responsibility and participate actively to push forward the agenda as set out by the constitution.
Confidentiality: This is an ethical principle and legal right that we as a forum will keep all information relating to a service user secret. Any disclosure of such data will only be permitted with the informed consent of the service user prior to its use.
Data: This is the information held by us about you. It is processed electronically and stored in manner that makes it readily available for processing.
Personal Information: This is the information that can be used to identify an individual either solely or other information potentially available.
Sensitive Personal Data: This is any information about a person relating to their
- Racial or ethnic origin
- Political opinions
- Religious beliefs or other beliefs of a similar nature
- Trade union membership
- Physical or mental health or condition
- Sexual life
- Commission or alleged commission of any offence, or any proceedings for any offence committed or alleged to have been committed
Collecting information: Information collected will be gathered via our parent participation database, social networks, surveys and any direct contact we have with you. This may be, but not limited to:
- Name
- Telephone Number(s)
- Information about your child(ren) –
- Age, disability/additional need, gender and school
provision - Other information may be gathered via direct contact and surveys.
WHAT DO WE COLLECT & WHY DO WE COLLECT IT?
How we use your information:
- Identify and gather opinions, views and information about issues that involve those with additional needs and disabilities.
- Inform the relevant agencies including but not exclusively the local authority and the NHS of these views and in doing so improve the services provided. Where no service is currently
available, work with agencies to develop appropriate provision. - Keep service users up to date with any progress and developments of provision for children with disabilities or additional needs aged 0-25yrs and their families.
- We may use the information to improve our services. In order to do so we may need to contact you for research purposes on how the forum is meeting the needs of service users
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

In order to keep you up to date with matters that may be of interest to you we will contact you. This may be via social networking, e-mail, post or through a mobile text service. In the event that emails are sent to more than one individual at a time, email addresses will be kept classified.
We will not retain any information for longer than necessary and will contact you annually to ensure that data is kept up to date and accurate. If you believe that the information we hold on you is inaccurate or you no longer wish for us to hold your information then please write to us using the
contact details found below. We will correct any information or remove you from our database within 14 days.
If you wish to make a complaint about the way we handle your data or how your personal information has been processed you can do so by writing to us at the address below.
You have the right to see any information held on you via a subject access request, or if you wish to have your information removed from our database you can do so. You can contact us in writing to request using the contact details below. We will aim to complete your request within 21 days.

Stockton Parent Carer Forum . aims to provide high quality services which meet your needs. We believe we achieve this most of the time: if we are not getting it right please let us know.
In order to ensure our services remain at a high and improving standard, we have a procedure through which you can let us know of for any reason you are not satisfied with your dealings with the organisation.
EXPRESSIONS OF DISSATISFACTION
These are informal complains that can be resolved in person without an official log
If you are unhappy about any of Stockton Parent Carer Forum’s service, please speak to the relevant SPCF Representative in person where available.
If you are unhappy with an individual in Stockton Parent Carer Forum sometimes it is best to tell him or her directly. If you feel this is difficult or inappropriate then please follow the procedure below.
MAKING A FORMAL COMPLAINT
If you are not satisfied with our informal response or wish to raise the matter more formally, please write to the Chair. (If this complaint is in regards to the Chair please write to the Secretary.
RESPONSE
All written complaints will be logged. You will receive a written acknowledgement within three working days.
The aim is to investigate your complaint properly and give you a reply within ten working days, setting out how the problem will be dealt with. If this is not possible, an interim response will be made informing you of the action taken to date or being considered.
If after we have responded you are not satisfied, please write to the Chair who will report the matter to the next meeting of the Trustees, which will decide on any further steps to resolve the situation.
Often we will be able to give you a response straight away. When the matter is more complicated we will give you at least an initial response within five working days.
